The right room depends on the meeting type, the number of people and whether clients are joining. Here is how to match the room to the need.

Match Room Size To Group Size

A 2-person call in a 12-person boardroom feels awkward. A 10-person workshop in a 4-person room is cramped. As a rule, allow 1.2 to 1.5 square metres per person for seated meetings.

If you have a mix of meeting types, choose a space provider that offers rooms in different sizes.

Check The Technology

Video calls are now normal. The room needs a good screen or projector, clear speakers, a working mic and reliable internet. Test these before booking a room for client calls.

Also check power points. People often need to charge laptops during long meetings. Extension cords scattered across the floor look unprofessional and are unsafe.

Think About Client Impressions

For client meetings, location and look matter more than for internal meetings. A well-lit room in a clean building with good parking sends a better message than a fancy room in a hard-to-reach place.

If clients visit often, consider a meeting room in a premium address like Cyber City or Connaught Place, even if your main office is elsewhere.
